Who We Are
What is CertVault?
CertVault is a compliance tracking tool built specifically for general contractors. It keeps all your subcontractors' insurance certificates in one place, reads them automatically, and tells you when something's expired or about to expire.
One place to see who's covered, who's expiring, and who needs to send in new paperwork.
Who is this for?
Small to mid-size GCs running anywhere from 5 to 30 subs. If you're currently tracking certificates with a spreadsheet, a filing cabinet, or not tracking them at all — this is for you.
What We Do
How does it work?
You sign up, add your subs, and each one gets an email with a direct upload link. They upload their certificate of insurance — no account, no login, no app download required on their end.
Our system reads the certificate automatically using AI, pulls out the carrier, policy numbers, coverage amounts, and expiration dates, and puts it all on your dashboard.
What do my subs have to do?
Almost nothing. They get an email with a link, click it, and upload their COI. That's it. No account to create, no password to remember, no app to download. Takes them about 30 seconds.
What exactly gets tracked?
For each certificate, we pull out:
- Insurance carrier name
- Policy number
- General Liability coverage and expiration
- Workers Comp coverage and expiration
- Auto Liability coverage and expiration
- Coverage amounts (each occurrence, aggregate, employer liability, combined single limit)
What happens when a certificate is about to expire?
CertVault checks every day. When a policy is within 30 days of expiring, we automatically:
- Update the sub's status on your dashboard to "Expiring Soon"
- Email the sub letting them know they need to upload a new certificate
- Email you so you know who's falling out of compliance
If a policy actually expires, the status changes to "Expired" on your dashboard.
Can I remove a sub if I'm no longer working with them?
Yes. Click on any sub in your dashboard, and you'll see a "Remove sub" option. This deletes their record and any uploaded documents permanently.
What We Don't Do
Is CertVault an insurance company?
No. CertVault is not an insurance company, broker, or agent. We don't sell insurance, verify that policies are actually active with the carrier, or provide any insurance advice.
We're a document management tool. We read the certificates your subs upload and organize the information so you can see it all in one place. Always verify coverage directly with the carrier if you need to confirm a policy is active.
Is the AI reading 100% accurate?
Our AI is very good at reading standard ACORD certificates, but no AI is perfect. We recommend spot-checking important details, especially for high-value jobs. The compliance status on your dashboard is based on what the AI extracted — it's a tool to help you stay organized, not a legal guarantee.
Pricing & Account
How much does it cost?
$79/month. No per-sub fees, no per-upload fees, no hidden charges. One flat price for unlimited subs and unlimited uploads.
Is there a free trial?
Yes — you get 14 days free when you sign up. No credit card required. You can add subs, send upload links, and use the full dashboard during your trial.
Can I cancel anytime?
Yes. Cancel anytime through the billing portal in your dashboard. Your account stays active through the end of the billing period you already paid for.
What about refunds?
All charges are non-refundable. When you cancel, you keep access through the end of your current billing period, but we don't issue partial refunds.
Can I delete my account entirely?
Yes. You can delete your account from the menu in your dashboard. This permanently removes all your data, your subs' records, and any uploaded documents. This cannot be undone.
Security & Privacy
Is my data secure?
Yes. All data is encrypted and protected. You can only see your own subs and your own data. Nobody else can access it.
Can my subs see each other's information?
No. Each sub can only upload their own certificate through their unique link. They can't see your dashboard, your other subs, or anyone else's information.
Can my subs opt out of emails?
Yes. Every email we send to subs includes an unsubscribe link. If they opt out, we won't send them any more reminders — but you'll still see their compliance status on your dashboard.
